How to recover a deleted contract, form or receipt PDF

A deleted contract, filled-in form or receipt PDF can often be recovered, and often you do not even need recovery software, because documents like these almost always exist in more than one place. Start with the copies that someone else holds or that your apps kept, then scan the drive for the file by name, and repair the PDF only if the recovered copy will not open.

What to do right now

  1. Look for another copy first: the email it arrived in or was sent with, the e-signature service, the other party, or the portal that issued the receipt.
  2. Check the Recycle Bin, the Downloads folder, the cloud storage recycle bin and Previous Versions of the folder.
  3. If none has it, stop saving to the drive and scan it with deleted file recovery, filtering for PDF and searching by name.
  4. If the recovered PDF will not open, repair it into a new copy; for legal use, ask the issuer for an official copy.

Steps to get the document back

  1. Ask for or re-download a copy

Search your mailbox, including Sent items, for the file name or the other party's name. Signed contracts can usually be downloaded again from the e-signature service account, and receipts, invoices and tax forms from the shop, bank or government portal that issued them.

  2. Check the places Windows and apps keep

Look in the Recycle Bin, the Downloads folder and the recycle bin of OneDrive or other cloud storage. Right-click the folder that held the file and open Previous Versions; if a restore point or File History copy exists, the PDF may be in it.

  3. Stop writing to the drive

If no copy turns up, avoid downloading, installing or saving anything on that drive. Documents usually live on drive C:, so run FileFix Ultimate as a portable app from a USB stick.

  4. Scan and search by name

Open Deleted file recovery, select the drive and filter the results to PDF. Search for words you used in the file name, such as contract, invoice, receipt or the company name. Files found through file system records keep their original name, folder and date.

  5. Identify unnamed results by preview

PDFs found only by signature search have no original name or date. Narrow them by size and open the preview to recognise the first page, a logo or a signature block.

  6. Save, open and repair if needed

Save the PDF to a different physical disk and open it. If it reports damage or shows missing pages, open Damaged file repair and repair the PDF; the result is saved as a new file and the recovered copy stays untouched.

Why contracts and receipts are easier to replace than to recover

Unlike a holiday photo, a business document is rarely the only copy in existence. A contract you signed electronically was generated and stored by the signing service, sent to every party and often archived by your employer. A receipt was issued by a system that can print it again. Getting an official copy from the source is usually faster than recovery, and the copy is complete.

This matters most for documents with legal or tax weight. A recovered file is byte-for-byte what was on your disk, but a repaired file is a new file. If the PDF carries a digital signature, any change to its bytes can make the signature show as invalid in a PDF viewer, even if the visible pages look perfect. For anything you may need to prove, keep the recovered or repaired copy for reference and request an official one.

Why the file name matters in a recovery scan

On NTFS drives, each file has a record with its name, folder, dates and the location of its data. After deletion the record is marked free but often survives for a while, which is why a scan can find invoice_2026_04.pdf in its original folder. Once the record is reused, only the content remains, and signature search can still find the PDF but cannot know what it was called.

So scan soon, and search by the words you would have used in the name. Scans saved by a phone app or a multifunction printer often have generic names such as scan_0012.pdf, so also filter by the date of the scan. On an SSD with TRIM, deleted data may be erased within moments.

What PDF repair can and cannot fix

A PDF ends with a cross-reference table that tells the viewer where each page and image is stored. When the end of a recovered file is missing or damaged, viewers refuse to open it even though most pages are intact. Repair rebuilds that structure from the objects it finds, which often brings the document back. If parts of the file were overwritten, the affected pages stay blank or broken, because the data is no longer there to rebuild.

When the PDF cannot be recovered

  • If new files were saved over the deleted PDF, the overwritten parts are gone.
  • On SSDs with TRIM, deleted PDFs are often emptied almost immediately.
  • A PDF protected by a password still needs that password to open after recovery.
  • Files that only ever existed in a browser or web portal and were never saved locally are not on the disk to recover.

How FileFix Ultimate helps

  • Finds deleted PDFs with their names and folders from NTFS, FAT32 and exFAT records, or by signature when records are gone.
  • Previews PDF pages before you save, so you can recognise unnamed results.
  • Repairs damaged PDFs by rebuilding their structure into a new copy, leaving the original untouched.
  • Free for personal use, offline and read-only, with saving restricted to another disk.

FileFix Ultimate is free for personal use, works offline and never writes to the drive you are recovering from. Business use needs a one-year licence per PC. Check the signature before you run it.

Frequently asked questions

Can I recover a signed contract PDF I deleted?

Often, yes. Before scanning, download it again from the e-signature service or ask the other party, since that copy is complete and its signature remains valid. If that is not possible, scan the drive soon and search by file name.

Where can I find a lost receipt or invoice PDF?

Check the email that delivered it and your account on the shop, bank or tax portal, which usually lets you download receipts again. If it was only on your PC, scan the drive and filter for PDF.

Is a recovered contract still legally valid?

That depends on the document and where you are, so ask the issuer or a professional. A file recovered unchanged usually still verifies, but a repaired copy may not, so request an official copy for formal use.

The recovered PDF opens but some pages are blank. Why?

Those pages were stored in areas that have since been overwritten. Repair cannot recreate data that is gone; try another copy of the document instead.
